How to Organize a Gift Basket Raffle Fundraiser

Welcome! So you are interested is holding a gift basket raffle? Great ~ because you have come to the right place. You will find everything you need to know (and then some) about organizing a successful gift basket raffle fundraiser. I’ve brainstormed some pretty creative ideas to share with you.

There are eight steps below ~ let’s get started.

STEP 1: Where to Start in Organizing a Gift Basket Raffle

First, there will be decisions that need to be made . . .

  • Will you be soliciting donations? Or do you have the funds to purchase the baskets and their contents? The most profit will be made if you solicit donated items from local businesses. This way, businesses get the opportunity to easily advertise their products and services. And your baskets will be filled with brand new items at no cost to the fundraiser.
  • Who will be doing all the work? Set up a team that will work together on this fundraiser. Determine set jobs for each member to ensure that everything that needs to be done is accomplished.
  • How much money do you wish to raise? This will help determine how many total baskets should be included in the raffle.
  • Who is your target audience that will likely purchase raffle tickets? This will give you an idea of which basket themes would be best.
  • How many total baskets will be created? If the target audience is a group that has 100 members, you may want to only create three baskets or so. If the audience is much larger, let’s say a well attended carnival, create a dozen baskets to ensure a great profit.

STEP 2: Types of Baskets to Use

To keep your costs low, you can find baskets at a thrift store for a minimal cost. You may also know people who are willing to donate unused baskets.

But, wait! The container does not actually have to be a basket. For example, let’s say you are creating a basket for a baby. Why not use an infant bathtub and then fill it with related items. Or, let’s say your basket theme is “kitchen.” Use a large soup pot as your basket and then fill it with kitchen items.

STEP 3: Gift Basket Themes and Content Ideas

The key is to choose basket themes and content that will attract those that are likely to purchase raffle tickets. You want to make sure you have enough baskets to entice many different tastes.

I've created 24 different theme title ideas for your baskets including ideas for what each themed basket might contain. Have fun with this and include your own unique ideas too.

Add a bottle of wine, opener, candles, and maybe cheese & crackers.

STEP 4: Gather Baskets and Contents

Now it’s time to begin shopping and/or soliciting. Collect all the baskets (containers) that are needed and their contents. Each basket should have at least one “big ticket” item that is the focal or selling point of its theme.

STEP 5: Put Gift Baskets Together

Schedule a time when all members of the fundraising team are available to put the baskets together. Arrange the baskets as attractively as possible. Use tissue paper to line the bottom of the basket/container to add color. Use cellophane to seal the baskets and then decorate with ribbon or a bow if desired (see video below).

Also have a container available for each basket to place the raffle tickets in. Number the container to coincide with the numbered basket. You may wish to paste the basket description to the container.

STEP 6: Number and Describe Each Gift Basket

Type or write out a list including the basket theme and all of its contents. On this list, be sure to acknowledge the business names who donated items. Add an "estimated value" if you wish.

Number each corresponding basket, content list and raffle ticket container.

STEP 7: Market Your Fundraiser ~ Advertise, Display Baskets and Sell Tickets

  • It is important that you have time to sell tickets to make enough profit. For example, sell these raffle tickets during a long-weekend carnival. You could sell tickets at “bingo night” for four weeks in a row stating when exactly the winner will be announced.
  • Let people know upfront if the winner needs to be present at the drawing. Obviously, chances are you will sell many more tickets if the winner does NOT need to be present.
  • Make posters to advertise the fundraiser. Advertise in a group newsletter, church bulletin, etc. Let people know what the proceeds will be used for.
  • Display baskets on clean tables with attractive table clothes.
  • Consider offering a discount to those that purchase multiple tickets. For example: 1 ticket for $1, 6 tickets for $5, 13 tickets (baker’s dozen) for $10.
  • Allow ticket buyers to choose which basket they are trying to win. Have them place 1/2 of their ticket (with name and phone number) in the container that coincides with the basket(s) they are interesting in winning. They will hold on to the other half of the ticket to show proof if they are a winner.

STEP 8: Announce Gift Basket Raffle Winners

Set an exact date and time when the winners will be announced. If this will take place at a large event, use a microphone and advertise that the raffle is coming to an end. “Hurry, come get your tickets now. There is only _____ minutes (or _____ hours) left until the winner is announced.”

Draw and announce the winners.

Have fun and be sure to thank everyone for their support.

      Confession time: I am a Chinese Auction Junkie. Have been for years. When I see all those miles of tables, lined with big, beautiful baskets full of wondrous goodies....I'm worse than a crazed BINGO freak!!

      You see....it could be worse....I would love to gamble, but I'm much too sensible and budget-minded to do such a crazy thing.....Soooo, I realized that I could go to Benefits and Fund Raisers galore....and easily justify gambling by balancing it out with the "charity/donation" aspect. This way, I can have fun....maybe be lucky enough to win something ....but if I don't, at least I have not thrown the money away. It went to a good cause!

      I copy down all the advertised benefits in the area, check the announcements in the newspaper....and off I go. I have won nice prizes a few times. I LOVE the Baskets!!! I enjoy the thrill of walking the floor, checking out all the baskets and droppping my tickets in my favorites!!

      Hi Paula ~ well, gosh, I think I received your comment only minutes after I hit publish. You are quick girl! And you are a junkie too? I knew that, ha. I think your idea of not gambling and that raffles are okay is RIGHT ON. Yes, you are helping charity in one way or another. And you have the excitement of possibly winning too. The way you "plan your route" also reminds me of garage sale hunting. I believe you do that too :) You know, when I was doing a little research for this hub, I saw where the suggestion was to collect all tickets together and then the winner can choose which basket they like in order of when their ticket was pulled. I thought NO WAY! I really think it's better to be able to try for what you are interested in only. I can see that you agree with me.       AWESOME ideas, Sharyn! At a former job, we'd do things like this often. It was always fun to see what we (& others) could come up with!

      One that we did was a "Romantic Randevu" basket, with a gift card for dinner at a restaurant or movie tickets (or a couple of romantic comedy movies), a bottle of wine w/ 2 glasses, some massage oils, bath salts, & maybe a couple of robes.

      Hi Jo ~ Thanks so much for your compliments. Here are some ideas I can think of for a basket for an "author." Also you said "book lover." Any type of books that have to do with writing and publishing. A subscription to something like "Writer's Digest" magazine. Book marks. Small "book light" for reading. A desk chair cushion. A "book a month" club. Blank notebooks and journals. Pens. A digital voice recorder. Coffee mug and/or t-shirt with saying on it. A laptop computer. A printer. A coffee pot. A video camera.       you have some great ideas out here, thank you. I hope you can assist with this question because I am at a loss. My school will not allow gambling as a fundraiser so when doing "raffle" baskets that is considered gambling. I need to strategically think of a way to sell tickets for baskets (because that is the biggest way to make money for a non profit) and have it considered to be an auction, which is permitted. I thought of selling tickets as auction tickets to the baskets but I am drawing a blank after that. do you have any ideas?? Thanks in advance

      Hi happyday ~ If you are allowed to have an auction vs. a raffle, of course, that is the way to go. Although maybe you could make up much smaller type baskets and sell them instead of raffle them. But that probably would bring in much less profit. Would a basket raffle still be considered "gambling" if all the items were donated. I think it probably would but rules can be extremely different depending on where you live. Good luck!

      raffle truly brings all the money in. Since an auction is approved, my thought was set up baskets as auction baskets and sell tickets as auction tickets. Place a sign that said you have to put a minimum of 2 auction tickets per basket and then pull a winner. I live in PA and we are a PTO for a public school, all prizes are donated and we are non profit. I can't wrap my head around the fact that you can't sell a raffle ticket but you can write me a check if you win the auction? it doesn't make a lick of sense to me. That is why I am trying to just call them auction baskets and sell auction tickets but I was hoping there was a better idea to come up with the same end result :)

      Hi HappyDay ~ It IS so confusing. Since we were talking about this, I did a little research on different state laws. It is difficult to understand what you can and cannot do as far as "gambling." As far as the auction basket, maybe think of doing a silent auction. I'm not too familiar with it but I'm thinking that you need to start each basket at a certain price so that you do not lose out. Let's say if a basket's value is $75, start the bids at least $25 so you are sure to get something out of it. If I think of any other ideas, I will be sure to contact you. Good luck!

      Any ideas on what I could put items for a bunco themed basket in? I have item ideas but am struggling what to put them in. Suggestions?

      Hi Wendy,

      That's a cute idea for a themed basket. My first thought on what to put Bunco items in was a sun hat. I was thinking older people who play Bunco and that it may be mainly women? I thought maybe a hat turned upside down. Or how about something like a nice lunch box with a carrying handle so that the game supplies can easily be transported. Those are my thoughts for now :) Thank you for stopping by.

      How much do you suggest that you charge for the tickets to be purchased for the gift baskets. Baskets being valued at $30 (approx 30) and only big ticket item is a TV valued at $175.
